The questions that arrive after hours

These are the questions dental practices answer by hand every day, and the ones that go unanswered at night and on weekends. Each has a correct answer that only you know. An assistant trained on your answers gives it instantly.

  • Do you take my insurance?
  • Are you accepting new patients?
  • Can I book a cleaning this week?
  • What should I bring to a first visit?
  • Do you do Invisalign, implants or sedation?
  • My child knocked out a tooth. What do I do?

Answered, booked, handed off

  • Insurance, hours, parking and new-patient questions, answered from your own list
  • Hygiene and consultation booking straight into your scheduler
  • New-patient forms sent as a link, with the paperwork done before the visit
  • Emergencies recognised and routed to the on-call number immediately
  • A summary to the front desk each morning: who asked what, who booked

Three things, worked through

Worked examples, not case studies: how each service applies to dental practices.

AI assistant

Say a practice gets 50 website messages and 30 after-hours calls a week, and most ask about insurance, hours or whether a procedure is offered. An assistant trained on the practice's own answers handles those, offers the next open hygiene slot, and sends a one-line summary per conversation. Anyone describing pain, swelling or a knocked-out tooth is given the emergency number and the on-call dentist is paged.

How we build ai assistants →

Website

Treatment pages written as direct answers (what it is, who it is for, what a visit involves), an insurance page that lists the plans you accept, online booking that works on a phone, and your reviews where new patients look for them. Written so an AI engine can quote it when a parent asks for a pediatric dentist nearby.

How we build websites →

Automation

Six-month recall reminders by text and email, appointment confirmations the day before, forms sent when a new patient books, review requests after a completed visit, and a weekly list of patients who have not rebooked.

How we build automations →

What to automate first

In the order we recommend, by hours saved for effort spent. Most dental practices start with the first item and add the rest over a few months.

  • After-hours answers and booking, because that is where the new patients are lost
  • Appointment confirmations and reminders, to cut no-shows
  • Hygiene recall, so the schedule fills itself
  • Review requests after good visits

Questions dental practices ask us

Can an AI assistant handle patient information under HIPAA?

It can be built to. The assistant should collect only what it needs to book (name, contact, reason for the visit), never store clinical details, and the vendor whose systems hold the data should sign a business associate agreement. We set it up that way and document what is stored and where. This is not legal advice; your compliance officer has the final word.

What happens when a patient has an emergency at 11 pm?

The assistant recognises emergency language (severe pain, swelling, bleeding, a knocked-out tooth), gives the emergency instructions and number you provide, and pages the on-call dentist. It never tries to triage clinically.

Does it answer the phone or only website chat?

Both. A voice assistant can take after-hours and overflow calls, answer the same questions, book, and transfer urgent calls to a person. Many practices start with website chat and add the phone later.

How does it know our answers?

You give us your FAQ, insurance list, hours, booking rules and emergency protocol. The assistant answers from that material and says so when something is outside it. Nothing is made up.

Can it book into our practice management system?

Usually. We connect to the scheduler or booking tool you already use, or to a booking page if direct integration is not possible, and we tell you before any work starts.

What does it cost?

A website assistant that answers questions and requests appointments is the smallest project; phone handling and scheduler integration add to it. You get a fixed quote after a free discovery call.

Does AI recommend your business?

Tell us your business and website. We ask ChatGPT, Perplexity, Gemini and Google's AI the questions your customers ask, and send you a one-page report: how many answers named you, who was named instead, and the three fixes that matter most. No cost, no obligation.
