In practice

  • Replies to new enquiries within a minute and follows up on a schedule until someone answers
  • Confirms appointments, sends reminders and "on our way" messages, and offers a reschedule link
  • Sends quotes and invoices when a job reaches the right stage, and reminders until they are paid
  • Asks for a review after a good outcome, and routes a bad one to you instead
  • Moves data between the form, the CRM, the calendar and the spreadsheet so nothing is typed twice
  • Alerts you when something needs a person: a reply, a complaint, a stalled quote
  • Keeps a log so you can see what ran, for whom, and when

What it looks like

Say a roofing company sends 25 quotes a week from its job software and follows up when someone remembers. We add one rule: three days after a quote goes out, a reminder text; a week later, a second; the owner is told only when the customer replies or accepts, and the rule stops the moment the quote is marked won or lost. Next we add invoice reminders at 7 and 14 days, and a review request after a paid job. Three rules, one afternoon of the owner's time.

Four steps, one fixed quote

Discovery call

Free, 30 minutes. We list the tasks you repeat every week, how long each takes, and which tools they touch. You get a fixed quote for the first automations, ranked by hours saved.

Map the process

For each task we write the rule in plain words: trigger, steps, who is told, when it stops. You approve the wording before anything is built.

Build and test

We connect the tools, build the rule, and run it on test records and then on a small slice of real ones, watching for the things that go wrong (wrong number, double booking, a reminder after payment).

Switch on, then tune

It runs for real. For the first month we check the log with you, adjust timings and wording, and add the next task on the list.

What affects the price

Every project gets a fixed quote after the free discovery call. These are the things that move it, so you can see where a smaller first project might sit.

  • How many tasks, and how many tools each one touches
  • Whether your tools connect directly or need a bridge
  • Data cleanup needed before anything can run reliably
  • Messages that must be written in your voice versus ones you have already
  • Monitoring and upkeep after launch

What we need from you

  • Logins or invitations to the tools involved
  • The current process, even if it lives in someone's head
  • The messages you already send, so we can match the voice
  • One person who can say yes to a rule

Questions about business automation

Which tools do you work with?

Common CRMs, calendars, invoicing and job tools, form builders, email and SMS services. If a tool has a way to connect, we can usually use it; if it does not, we say so before quoting.

Will it break when something changes?

Rules are written to stop safely and alert you rather than guess. We add checks for the usual failures (missing phone number, duplicate record) and keep a log you can read.

Do I have to replace my software?

Usually not. We connect what you have. We only suggest a change when a tool genuinely cannot do what you need, and we show you the cost either way.

What should we automate first?

Whatever costs the most hours and follows the same steps every time: missed-call follow-up, quote follow-up, reminders, invoices. Judgment calls and angry customers stay with people.

What does automation cost?

It depends on the number of tasks and tools, listed above. The first project is usually small and specific, and you get a fixed quote after the free discovery call.

Is an AI assistant the same thing?

No, but they work together. Automation runs fixed rules between tools; an AI assistant holds a conversation. The assistant often becomes the trigger for the automation: it books, and the reminders follow.
